Bookings
Creating an appointment by hand, moving it, cancelling it, and understanding what each status means and which email goes out.
Bookings holds everything on your calendar. You can see it as a list or as a calendar, and filter by status or by team member.
Creating an appointment by hand
Use the New appointment button. Pick the service, the date and time, and the client.
For the time you have two routes. One is picking an available slot. The other is Custom time, which lets you set any time even if it is not a published slot, for the "squeeze me in" cases.
For the client, you can search someone who already exists by name, email or phone, or type the details in. If they do not exist, their record is created.
The Email a confirmation to the customer checkbox is off by default. If you are entering the appointment because they called you, tick it so they get the email.
Appointments you create start out confirmed.
The five statuses
Pending. A booking made on your page that has a payment outstanding. It only appears if you have an active payment method and the service has a price.
Confirmed. The appointment is on. It is the status of everything you book yourself, of anything booked on your page with nothing to pay, and of anything that gets marked paid.
Completed. You set it once the appointment has happened. It is what awards loyalty points to the client if you have them switched on.
Cancelled. The client is notified by email and text, the Google Calendar event is deleted and the waitlist is notified.
No-show. You set it when someone does not turn up. It records the fact against the client and sends nothing.
Closing out the day
Every appointment has Mark as completed and Mark as no-show. It is what you will tap most often, so it sits at the top and full width on the phone too.
Moving an appointment
Use Edit booking, the pencil icon. The new slot is checked for availability before saving, so you cannot create a clash without knowing. If that person connected their Google Calendar, the event moves by itself.
Cancelling
Use the bin icon. The appointment becomes cancelled and the client is notified by email and text.
Payments
If you take payments, each appointment has Mark as paid, with an optional internal note. Marking it also moves the booking to confirmed.
The detail view shows where the money stands: paid, deposit paid, payment pending, refunded or pay on site.
The appointment detail
Alongside the service and the schedule you get the client's details and the Questionnaire and notes section, which shows the intake form answers for that service if you set one up.
How many bookings fit
The free plan allows 80 bookings per month. The counter resets on the 1st. If you run out, online booking pauses until the following month.
