Hours and slots

How the times your clients see are calculated, and what to check when fewer show up than you expected.

Availability is where you set your business hours: when you open and close each day, or whether that day is closed. Everything else is calculated from there.

The time zone decides

Hours are stored and shown in your business time zone, not your browser's. If you are travelling or your computer is set elsewhere, the business time zone is the one that counts. Check it before changing anything.

Business hours versus each person's hours

Business hours are the common floor. If a team member has no hours of their own, those are what apply to them.

When someone does have their own hours, set from their profile in Team with Set availability, theirs win. That is also where breaks go: lunch, pauses, whatever, with a label if you want one.

Breaks only exist per person. There is no business-level break.

How a slot is calculated

Every slot a client sees has passed this filter:

  1. The business is open that day and at that time.
  2. At least one person assigned to that service is active and within their own hours.
  3. That person is not on a break.
  4. That person does not already have an appointment there, counting the buffer of the previous one.
  5. That person does not have that time busy in their Google Calendar, if they connected it.
  6. The time has not already passed.

If any of the six fails, the slot is not offered.

How often slots appear

There is no interval setting. Slots are generated from the service duration plus its buffer, starting at your opening time.

A 30-minute service with no buffer gives slots at 9:00, 9:30, 10:00. The same service with a 15-minute buffer gives 9:00, 9:45, 10:30. If you want to change the rhythm of your day, change it there, on the service.

When a client sees no slots

In order of likelihood:

  • The service has nobody under Assigned staff.
  • The assigned person's own hours are shorter than the business hours.
  • That day is marked closed.
  • The person's Google Calendar is full at those times.
  • It is today and those hours have already passed.

Booking outside your hours

You can. When creating an appointment by hand from the dashboard there is a Custom time option that lets you set any time, even one that is not a published slot. It is for the "squeeze me in" cases you do not want to open to everyone.
